REMOTE BOOKKEEPING PROCESS
STEP 1 OF 3 – HOW MAIL, BILLS AND DATA FLOW TO SIMPLY-BOOKKEEPING
In Flowchart 1, you can see that there are several ways to communicate and deliver documents to bookkeepers at our office. We have optimized this business and offer state-of-the-art solutions.
- Clients Virtual Remote Desktop: We spend considerable money on this feature to make it as productive and useful as possible. Understanding that the main problem with working remotely is viewing and sharing data, we have implemented a customized and unique virtualization server. It is so sophisticated that it not only stores individual company’s data securely, it also provides you with your very own virtual windows7 desktop from which you can access QuickBooks and share data with your bookkeeping team. This means that no matter where you are, will always have access to your data. In order to send your bookkeeping team data all that needed is to copy/paste the data onto the desktop directly from your local PC and then they will have access to it and can begin to record and process accordingly. So, no need to struggle to email large files with this method. In accordance with financial practices and IRS requirements all data is securely stored.
- Courier: Your Simply-Bookkeeping team can arrange to pick up documents on a routine basis. Although this is not the most eco friendly approach, we dispatch the courier wherever needed.
- FedEx Courier Service: We will build into your bookkeeping fee enough to cover one or two standard shipping fees per month, so you can quickly drop packages off at local FedEx drop boxes with our premade Bill of Lading.
- Fax: While this is a well-established concept, it is not always the most prudent or cost-effective method for you. However, in a pinch, of course, this is a way to send us documents.

Once the bookkeepers receive the documents you wish for them to process / file / store, we will get to work and do the bookkeeping for you.
